Trust accounts and IOLTA accounts hold funds belonging to clients or third parties, which means accuracy, accountability, and proper reconciliation become critically important.

One common misconception is that reconciling a trust account is the same as reconciling a normal bank account. In reality, trust account reconciliation requires significantly more detail and oversight. The real question is not simply whether the bank balance reconciles. It is whether individual client balances, transaction activity, and supporting records properly tie together.

Over the years, I have seen reconciliation problems arise from many different causes: poor processes, lack of training, software limitations, commingling of funds, timing issues, or simply inadequate oversight. In more serious matters, reconciliation problems may reveal misuse of funds or fiduciary concerns.

Reconciliation issues often develop gradually. Small unresolved differences accumulate over time. Temporary fixes become permanent. Documentation becomes inconsistent. Before long, the organization no longer fully understands what caused the problem.

Strong trust account processes generally involve:

  • Consistent, independently reviewed reconciliations
  • Clear supporting documentation
  • Proper segregation of funds
  • Timely follow-up on discrepancies
  • Good oversight throughout

Trust account issues are often as much operational as they are accounting related. The goal is not simply balancing numbers. It is maintaining accountability and protecting funds that belong to others. When handled properly, reconciliation processes strengthen confidence, reduce risk, and create better transparency for everyone involved.
